Privacy Notice for the Earth Online newsletter
ESA invites you to subscribe to the Earth Online newsletter which will keep you informed about ESA's latest Earth Observation data offerings and news.
If you wish to subscribe to the newsletter, you will be asked to provide your email address during the registration process. If your identity can be ascertained from your email address, the email address constitutes Personal Data. This notice sets out how your email address will be handled for the purpose of sending you the newsletter, and your rights in relation to this handling of your Personal Data.
Which Personal Data will be processed and why?
The Personal Data which will be collected and processed for the purpose of sending you the newsletter is only your email address.
The Earth Online newsletter service is managed on behalf of ESA by Airbus Defence and Space Limited (Airbus UK). Under ESA's contract with Airbus UK, your email address will be collected, encrypted and processed by Airbus UK and Eversis Sp. Z.o.o (Eversis) for the purpose of sending you the Earth Online newsletter. The servers of Airbus UK and Eversis are located in data centres managed by Airbus UK and Eversis in the UK and Poland.
If you choose to make a request to erase, rectify, complete or amend your details, your request will be manually processed by Serco S.p.a. (Serco Europe), which manages the ESA EO Helpdesk on behalf of ESA. Accordingly, at the point you make the unsubscribe request, your email address will also be collected and processed on the servers of Serco Europe. These servers are located in Italy.
Airbus UK, Serco Europe and Eversis will not use your email address for any purpose other than sending you the newsletter and will not disclose your Personal Data to any other entity.
Airbus UK, Serco Europe and Eversis do not consider your Personal Data as an asset for sale and will not does not sell your Personal Data to any third parties.
For how long will my Personal Data be kept?
If you do not confirm your registration to the newsletter when you are sent the confirmation link by email, your email address will be automatically deleted from the Airbus UK and Eversis servers within 30 days of the initial subscription request.
If you do confirm your registration to the newsletter, your Personal Data will be stored on the Airbus UK and Eversis servers until you unsubscribe from the newsletter service.
If you wish to unsubscribe from the newsletter service you may do so at any time, by clicking the unsubscribe button provided in the footer of each newsletter or by contacting ESA EO Help Desk. Once you unsubscribe, all traces of your Personal Data stored for the purpose of sending you the newsletter will be erased from the servers of Airbus UK, Eversis and Serco Europe.

The Data Controller for the processing of your Personal Data is ESA. ESA is an intergovernmental organisation established by its Convention which opened for signature in Paris on 30 May 1975. The headquarters of ESA are located at 24 rue du Général Bertrand, CS 30798, 75345 Paris Cedex 07, France.
ESA manages the processing of your Personal Data in accordance with the provisions set out in ESA's 'Policy on Personal Data Protection', which was adopted by the Director General of ESA on 5 February 2018 and became effective on 1 March 2018. The Policy forms part of ESA's Personal Data Protection Framework, which can be downloaded from ESA's website www.esa.int.

The right at any time to make a reasonable request for access to your Personal Data which is held for the purpose of sending you the newsletter, provided that you demonstrate legitimate grounds for making the request.
The right to have your Personal Data erased, rectified, completed or amended.
If you do not want your Personal Data to be processed for the purpose of the Earth Online newsletter, please submit a request to ESA EO Help Desk, copy to email@example.com, and your Personal Data will be erased from the system. Please note that if we carry out this change, you will not be able to receive the Earth Online newsletter.
If you wish to rectify, complete or amend your Personal Data, you will need to submit a request to ESA EO Help Desk, copy to firstname.lastname@example.org, and explain the modifications that you wish to be made to your email address.
The right to lodge a complaint before ESA's independent Supervisory Authority which complies with the Rules of Procedure of the Supervisory Authority set out in ESA's Personal Data Protection Framework. You will be required to demonstrate that a Data Protection Incident occurred in relation to your Personal Data, following a decision of the Agency, or at least to present serious reasons for believing that such an incident occurred.
A Personal Data Protection Incident means any intentional or unintentional activity which violates the provisions set forth in ESA's 'Policy on Personal Data Protection'.
If you wish to lodge a complaint, the first step is for you to contact the ESA Data Protection Officer by sending an email to email@example.com, setting out the nature of your complaint. Your complaint will then be handled according to the Rules of Procedure of the Supervisory Authority that are set out in ESA's Personal Data Protection Framework.
Please note that if you do not accept the terms of this Privacy Notice, we will not be able to process your email address and you will not be able to receive the Earth Online newsletter.
